WHISTLEBLOWING FAQ

1.           What is whistleblowing and who is a whistleblower?

Whistleblowing is a tool that allows employees or third parties (e.g., suppliers) to confidentially report any wrongdoing encountered during their work activities.

The whistleblower is the person who identifies an offence or irregularity in the workplace, during the performance of his or her duties and decides to report it to the company or entity to which he or she belongs or to an authority that can effectively act on it.

The whistleblower is protected by legislation. For more information, we recommend that you read the "whistleblowing regulations," available on the Internet.

2.           How can I submit a report?

The Reporting.net system provides two modes that may or may not be present at the same time, depending on the choices of the Whistleblowing Officer:

Registered User: you create an account through which you access your reports with a username and password (chosen by you). In this case your identity is available to the Responsible Recipient but it is separate from the report and hidden.

Unregistered user: you create the report and access it through the codes issued by the system. Guard the code and password carefully because in case of loss you will no longer have access to your report. If you have given your first and last name, your identity will remain hidden but accessible only to the recipient of the report. If you prefer to remain anonymous, if this mode has been provided, do not give references that could be traced back to your identity. If you attach files, remember to verify that they do not contain references to your identity, even within the metadata. If requested by the Manager, you may disclose your identity, later, via the message area.

3.           By whom and how is my report handled?

The report is handled by the Whistleblowing Officer as outlined in the regulations (https://ercongressi.segnalazioni.net/).

4.           How can I check the progress of my report?

If you are a REGISTERED user or have listed your email address as a NON-REGISTERED USER, you will receive an email notification in case the Manager wants to request additional information or clarification from you. If you do not receive notifications, please also check your spam box. In any case, we recommend that you periodically access your report to check directly if you have any requests or simply to see the processing status. We remind you, for confidentiality reasons, not to use a business mailing address.

5.           How can I supplement the report?

After submitting the report you can supplement it by accessing the report itself and entering a message in the "messages" area.

6.           What facts or acts can I report?

There is no exhaustive list of wrongdoings or irregularities that may be the subject of whistleblowing. Reports that concern behavior, risks, crimes or irregularities detrimental to the public interest are considered relevant. You can therefore report incidents of bullying, violence, harassment, absenteeism, bribery, breach of confidentiality and other wrongdoing.

Whistleblowing does not cover the whistleblower's personal grievances, which are usually governed by other procedures. For example, one cannot report a dispute or a failed promotion. Nor can you report a disservice in the delivery of a product or make a return request.

Within the report form you will find a list of issues, use one of them. For more details you can consult the rules (link page).

Whistleblowing does not cover the whistleblower's personal complaints, which are usually governed by other procedures.

Reported misconduct must relate to situations of which the whistleblower has become directly or indirectly aware, even accidentally, because of the employment relationship and role held.

Reports based on suspicion or gossip, on the other hand, cannot be considered worthy of protection because it is necessary to consider the interest of third parties who are the subject of the information reported in the report and at the same time avoid the administration or entity carrying out internal inspection activities that risk being unhelpful and, in any case, costly.

Finally, the requirement of truthfulness of the facts for the protection of the whistleblower remains in place. For more information you can consult the regulations.

7.           How is my identity handled?

Whistleblower reports and identity are highly confidential; The software hides the identity of the whistleblower. However, access to the whistleblower's identity is granted only to the person responsible for the report, through a security procedure, which records access to the identity, with a request for the reason. If the person in charge has viewed your identity, you will be informed by the platform through an alert. The system does not use log systems to trace the identity of the person submitting a report.
