Insights - Notes on confidentiality
The report is accessible only to you and the Whistleblowing Officer of Studio Er Congressi s.r.l. Through this platform you can submit a report in a secure and confidential manner. If provided for in the regulations, you can send a report completely anonymously.
Confidential Reporting: confidential reporting means reporting in which the reporter is identifiable. Confidential reporting requires the user to first register, and then, once an account is created, the user can submit the report. It is possible to submit a confidential report even without creating an account, by filling out the report form from the "Report without registration" section (if any) and indicating personal data at the end of the form. The reporter's data are separate from the report, so the confidential report is sent to the Manager anonymously. Only the Manager is able to associate the report with the data of the reporter and thus view the identity of the reporter.
Anonymous Reporting: anonymous reports are reports that do not allow the report to be associated with the name of the reporter because the data of the reporter's name does not exist. In this case, the reporter is not required to register with the system and can submit the report as an unregistered user in the "Report without registration" section, if any.
This platform ensures confidentiality and security of information: All content you enter, including your identity is encrypted and can only be read by you and the recipient(s) of the reports (Whistleblowing Officer).
Once you submit your report, you can follow its progress and continue to communicate with the Whistleblowing Officer through the message area, associated with the report. Again, all information is encrypted and protected by the platform. If you have indicated an email address (or if you have registered), you will receive an email notification when the Manager sends you a message. In any case, we recommend that you periodically access your report to check for any requests for clarification from the Manager. For greater confidentiality, we recommend that you do not use a corporate email address.
If you have indicated your name, or if you are submitting the report as a registered user, your identity remains hidden even from the Manager, who will still have the ability to view it if he or she deems it necessary. In that case you will be informed by a notice within the report.
For greater confidentiality we suggest that you:
- do not include personal information that could trace your identity in the description of the reported incident;
- do not use a company email address for registration or to receive notifications from the system;
- do not submit a report from your workstation.
